Administrative Operations Assistant
The Position:
West Whiteland Township is currently seeking an Operations Assistant within the Police Department. This position is critical to the efficient management of the front end of the department and provides administrative, operational, and technical support to ensure smooth day-to-day operations.
The Administrative Operations Assistant assists with the administration and coordination of office functions, requiring at times complex decision-making, considerable independent judgment, and a high degree of confidentiality. This position involves substantial interaction and communication with federal, state, and local government entities, the public, and Township staff.
Key responsibilities include preparing a variety of police reports, managing department records, maintaining and updating electronic data, and handling a wide range of administrative tasks. The position also serves as a software administrator for key police systems, including the CODY Records Management System (RMS) and other departmental applications—ensuring data accuracy, user support, and coordination with IT staff and vendors for system updates and troubleshooting.
The Ideal Candidate:
The ideal candidate will have:
- Knowledge of law enforcement practices and procedures.
- Experience with administrative support, office coordination, and customer service.
- Strong organizational, communication, and writing skills, with attention to detail.
- Proficiency in Microsoft Office programs (Word, Excel, Outlook, PowerPoint).
- Aptitude for learning and administering new software systems, including police records management or database systems (e.g., CODY RMS or similar).
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Flexibility and a collaborative spirit in a busy, team-oriented environment.
Other duties shall include:
- Obtaining and maintaining CLEAN/JNET clearances
- Preparing and submitting monthly Uniform Crime Reports (UCR)
- Responding, answering and screening incoming department calls and in person inquiries, and
- Providing support to all Township Departments as needed.
